Terms & Conditions Policy

There terms and conditions set out the basis on which paediatric neuropsychology services are provided by Seahorse Neuropsychology ("we, "us", "our") to clients ("you", "your child").  By booking or attending and appointment, you accept and agree to these terms.

Service Scope

We provide specialist neuropsychological assessments for children and young people to evaluate areas such as cognition, learning, attention, memory, behaviour and emotional functioning.  Assessments may include interviews, questionnaires, formal testing, observations, and liaison with other professionals (with consent).

Bookings and Referrals

  • Referrals can be made by parents / guardians or professional (with parental consent)

  • Completion of our referral form dopes not guarantee an appointment.  Assessment suitability is decided by the clinician

  • Appointment dates / times will be offered following acceptance of the referral and any required pre-assessment documentation

Fees and Payment

  • A written quotation will be provided after the referral has been reviewed

  • A non-refundable deposit of 20% will be required to take the booking

  • Remaining fees are payable 7 days prior to the assessment (unless otherwise agreed)

  • Reports will not be released until full payment is received 

  • Accepted payment methods: Bank Transfer

  • Late payments may incur interest charged

Cancellation Policy

You may cancel up to 7 working days before the appointment without further charge (deposit remains non-refundable)

Cancellations made within 7 working days will incur 50% of total fee

Non-attendance or cancellation within 48 hours of the appointment will incur the full fee

Where we need to cancel or reschedule, we will provide as much notice as possible and will offer an alternative appointment or full refund if required.

Reports and Confidentiality

Following assessment and full payment, a written report will be provided (typically within 4 - 6 weeks).

Reports are confidential and for use by you and relevant professionals directly involved in your child's care and education

Reports may not be reproduced or shared with third parties (including legal proceedings) without our written consent

We reserve the right to decline involvement in court / legal proceedings unless expressly agreed in advance; additional fees apply

Data Protection

We collect and process personal data in accordance with the Data Protection Act 2018 and UK GDPR.  Please refer to our separate  Privacy Policy for more information about how your data is handled

Safeguarding and Duty of Care

If concerns arise regarding the safety or welfare of a child or vulnerable person, we have a legal and professional duty to share relevant information with appropriate safeguarding authorities, even without consent if necessary.

Responsibilities of Parents / Guardians

You agree to:

Provide accurate and complete information about your child's history and circumstances

Ensure your child attends appointments on time

Inform us of any changes to personal information or circumstances that may impact the assessment

Not record (audio/video) any part of the assessment process without prior written consent

Clinical Outcomes and Limitation of Liability

  • Assessments are conducted according to professional standards and base on information available at the time

  • While we aim to provide accurate clinical opinions and recommendations, outcomes cannot be guaranteed

  • To the extent permitted by law, our liability is limited to the amount paid for the services provided and excludes any indirect or consequential losses

Complaints

We take any concerns seriously.  If you wish to make a complaint, please contact us in writing to Caroline.Bryant@SeahorseNeuropsychology.com and if unresolved, you may contact the Health and Care Professionals Council (HCPC)

Governing Law

There terms and conditions are governed by the laws of England, Scotland and Wales and any other disputes will be subject to the exclusive jurisdiction of the courts in that region

​

Changes to Terms

We may update these terms and conditions from time to time.  Any changes will be communicated in writing and will apply to future services.
